Trade Delegation & Investment Forum — your complete pre-departure timeline, day-by-day itinerary, and practical information for the mission to Türkiye.
1. Pre-Departure Timeline
All delegates are kindly requested to observe the following deadlines. Late submissions cannot be guaranteed visa processing or flight confirmation.
Delegation Registration
Registration of delegates opens 1 July and closes 25 July 2026. Delegates must submit the completed registration form, passport copy (valid at least 6 months beyond travel dates), passport photo, and company profile.
Visa Processing & Confirmation
Submission of visa applications for all registered delegates; follow-up with the Turkish Embassy/Consulate; collection of all visa confirmations by 5 August 2026.
Flight Ticket Confirmation
Confirmation and issuance of flight tickets for all visa-approved delegates; circulation of the final travel manifest.
Orientation & Briefing Session
Mandatory pre-departure orientation and briefing for all delegates: programme overview, travel logistics, B2B meeting schedules, code of conduct, and Q&A.
Departure to Türkiye
Delegation departs for Istanbul, Türkiye. Delegates must arrive at the airport at least 4 hours before the scheduled departure time.

16 – 22 August 2026 · Istanbul & Gebze.
Departure & Arrival
Departure from home country; arrival at Istanbul Airport; meet & greet by the organizing team; transfer to Windsor Hotel & Convention Center; check-in and rest.
Welcome Briefing & Istanbul Orientation
Morning welcome briefing at the hotel; distribution of delegate kits and B2B schedules; afternoon orientation tour of Istanbul's commercial districts; welcome dinner.
Institutional Visits & Forum Preparation
Courtesy visits to partner institutions and selected companies; preparation session for forum presentations and B2B meetings; free evening.
FORUM DAY 1 — Istanbul

FORUM DAY 2 — Gebze
Transfer to Gebze Chamber of Commerce: keynote addresses (Gebze Chamber of Commerce, Mr. Murat Akpınar – HAZAL GROUP, General Secretary of the Gebze Chamber of Industry), B2B matchmaking, company & industrial zone visits, investor roundtable, and certificate ceremony; return to Istanbul. Follow-up Meetings & Cultural Programme
Morning follow-up B2B and site meetings arranged during the forums; afternoon cultural programme and bazaar visit; farewell dinner.
Departure
Hotel check-out; transfer to Istanbul Airport; departure to home countries.
Note: Flight times, transfer times, and the follow-up day programme will be confirmed in the final travel manifest circulated after ticket confirmation (by 10 August 2026).
3. Delegate Guide
Everything you need to prepare for a smooth and productive mission.
3.1 Registration & Documentation
- Complete the registration form and submit all required documents before 25 July 2026 (registration closes on this date).
- Passport must be valid for at least 6 months beyond 22 August 2026 and have at least 2 blank pages.
- Required documents: passport bio-page copy, passport-size photo, completed visa application form, company profile, bank statement, and invitation letter (provided by the organizers).
- Keep printed and digital copies of your passport, visa, invitation letter, hotel confirmation, and return ticket while travelling.
3.2 Visa
- Visa applications are handled collectively by the organizing committee between 25 July and 5 August 2026.
- Delegates will be notified individually once their visa confirmation is received; all confirmations are expected by 5 August 2026.
- Delegates whose visas are not approved by the deadline will be contacted regarding alternative arrangements or refunds per the registration terms.
3.3 Flights & Airport Procedures
- Flight tickets are confirmed and issued between 5 and 10 August 2026; e-tickets will be sent by email.
- Departure to Türkiye: 16 August 2026. Arrive at the airport at least 4 hours before departure.
- Baggage allowance follows the airline's economy class policy (typically 23 kg checked + 8 kg cabin); confirm on your e-ticket.
3.4 Orientation & Briefing (14 Aug 2026)
- Attendance is mandatory for all travelling delegates.
- Agenda: full programme walk-through, forum objectives, B2B matchmaking procedure, business etiquette in Türkiye, logistics, and Q&A.
- Delegates will receive their preliminary B2B meeting schedules and the delegation contact list.
3.5 Accommodation & Transfers
- Accommodation: Windsor Hotel & Convention Center, Istanbul (bed & breakfast). Check-in 16 August, check-out 22 August 2026.
- All airport transfers and the Istanbul–Gebze return transfer on 20 August are arranged by the organizers.
- Departure times for daily transfers will be posted at the hotel information desk and shared in the delegation WhatsApp group.
3.6 Business Preparation
- Bring at least 100 business cards and 20 printed company profiles/brochures; a digital copy (USB/PDF) is also recommended.
- Prepare a short (3–5 minute) company presentation for B2B meetings, ideally in English; interpretation support (English–Turkish) will be available.
- Product samples are welcome where practical; check airline and customs restrictions for your product category.
- Dress code: business attire for forum days; smart casual for visits and cultural programme.
3.7 Practical Information — Türkiye
- Currency: Turkish Lira (TRY). Major credit cards are widely accepted; exchange offices are available at the airport and in the city.
- Weather (August): Istanbul is warm, typically around 25–30°C; light business clothing is recommended.
- Time zone: Türkiye Time (TRT), GMT+3.
- Language: Turkish; English is used at the forums with interpretation provided.
- Electricity: 230V, European two-pin (Type C/F) plugs; bring an adapter if needed.
- Connectivity: Hotel Wi-Fi is provided; local SIM/eSIM cards are available at the airport.
- Health & insurance: Travel/health insurance covering the full stay is required for the visa and strongly recommended for all delegates.
3.8 Code of Conduct
- Delegates represent their companies and countries; punctuality and professionalism are expected at all sessions.
- Attendance at both forum days, including the certificate ceremonies, is required to receive the certificate of participation.
- Any schedule changes must be communicated to the delegation coordinator in advance.
